Erasmus+ International Credit Mobility for Incoming Staff: Before the Mobility

Guidelines for preparing a staff mobility for teaching or training within the Erasmus+ International Credit Mobility programme.

Documents

A grant payment can be initiated only when each of the following documents is completed and submitted to ELTE’s Department of Erasmus+ and International Programmes (ENPO). The process is lengthy, therefore we recommend to begin it 2-3 months prior to the planned visit.

Mobility Agreement

After agreeing on/discussing your planned teaching program with your ELTE host, please fill all parts of the document, sign it and have it signed by the representatives of your sending university and that of ELTE. A scanned copy of the signed document is acceptable before the mobility, but later during your visit please submit a paper version with the original signature of all three parties, as well. INSURANCE AND PASSPORT

Taking out an insurance that covers the entire period of the mobility is the responsibility of the program participant/visiting professor. Insurance coverage shall include at minimum a health insurance, a liability insurance and an accident insurance. A copy of the insurance policy or card must be submitted together with the online form (see below). The copy should contain the following data:

  • name of the insurance holder
  • policy number
  • period covered (that should include the entire mobility period)
  • a minimum of 30 000 EUR insurance coverage
  • geographical validity of the insurance: Schengen Area

Please check the validity of your passport and submit a copy of it together with the other required documents.

Online form

In this form, we collect all data necessary for preparing your Erasmus+ Grant Agreement. All the above mentioned documents (copy of a fully signed Mobility Agreement, copies of insurance coverage and passport) should be submitted here together with other essential information. Once you have all the necessary documents ready, it takes about half an hour to fill in the form. You can access the Erasmus+ International Credit Mobility (ICM) Staff Grant Agreement Form here.

GRANT AGREEMENT

In this document there are the responsibilities of the participant and ELTE layed down, and the two parties agree upon the conditions of participating in the Erasmus+ program, implementing the mobility and receiving grant support.

Once we have prepared your Grant Agreement, we will email it to you for review. If you agree to the contents of the agreement, please sign it digitally using Netlock platform. Please see the information below on how to issue an e-signing certificate to sign your agreement digitally on the Netlock platform. Please note that you will need your valid passport to register on this website. Registration on the website takes at least 30 minutes, and processing your e-signing certificate request takes several days. Therefore, we recommend that you register on the website as soon as you start preparing your mobility to ELTE.

NETLOCK PLATFORM

In order to be able to digitally sign your grant agreement, you need to possess a qualified e-signing certificate. In case you already have such a certificate issued by an EU trusted provider, you are welcome to use that for signing your grant agreement (please check the EU trusted providers on this website). If you do not yet possess an e-signing certificate, please create one free at https://netlock.com/index_en.html.

In case you have problems registering on the website, you can also print it in 3 copies, sign all in blue ink (this is necessary for the legal validity of the document!) and send it via post or courier service to the following address:

Grant Payment

The transfer of Erasmus+ grant can be initiated only when the Grant Agreement has been signed by all parties (meaning also, that all other necessary documents – such as the Mobility Agreement – have been completed and submitted). The transfer process takes approx. 3 weeks. To receive your grant prior to the planned mobility, we recommend you to start the administration at least 2-3 months earlier.

Correspondent bank

In case you do not have an IBAN number for your bank account, it is likely that your bank can receive money transfers from the EU only via a correspondent bank. If so, we will need the following data of the correspondent bank for the money transfer: bank name, SWIFT/BIC code, correspondent bank account number. Please contact your bank for these details and provide them when filling in the Online Form.
