Erasmus+ International Credit Mobility: Before the mobility

The guide below provides information for students who have been awarded an Erasmus+ International Credit Mobility scholarship to close partner countries (e.g. United Kingdom, Switzerland) and distant partner countries (e.g. the Republic of Korea, Canada, Bosnia and Herzegovina) and who will participate in any of the following mobility types:

  • long-term student mobility for studies,
  • long-term student mobility for traineeship,
  • short-term doctoral mobility.
It is recommended to start the administration process 10-12 weeks before the planned mobility to ensure that your scholarship is received in time. In case of a prolonged administration, the payment of the scholarship may be significantly delayed.

PRELIMINARY INFORMATION

BANK ACCOUNT

ELTE transfers scholarships only in euros and only by bank transfers. Based on the experience of recent years, you may have to repay the grant due to a force majeure situation or a mobility shorter than planned, we recommend that you open a euro bank account for your Erasmus+ grant to avoid any unnecessary exchange fees. This step is optional, but if you apply for your scholarship in HUF and subsequently need to transfer it back, the conversion and transfer fees will be your responsibility to cover because ELTE does not cover these fees.

ADDITIONAL SUPPORT

Students who have been awarded an Erasmus+ ICM scholarship can apply for Erasmus+ additional support. There are two calls for applications for additional support per acadmeic year (spring semester: April-May, autumn semester: September-October).

PREPARING FOR MOBILITY

All obligations related to travelling and staying abroad, such as travel, accommodation, visa, health insurance etc., should be managed and paid by the scholarship holder. The Erasmus+ grant can be used freely for these expenses, but it is a contribution only to support your mobility that might not cover all costs. We recommend contacting the host university before making arrangements for insurance or accommodation, as it is often necessary for outgoing students to take out local insurance in the host country and they can get first-hand information about accommodation bookings.

A passport valid for the entire period of mobility is required, it is worth checking/renewing at this point. 

If you are planning to travel green (by train, bus, car or car-sharing instead of plane) to your host university, you can apply for an additional financial support. You can make your request using the online form (see below). Find out more about additional financial support for green travel here.

FORCE MAJEURE

Please be sure to keep all travel-related documentation (e.g. boarding passes, train tickets, accommodation receipts, etc.) as you may need them in case of force majeure. In such a case, please also keep receipts and other documents for all expenses incurred during your return journey (travel by any means of transport, accommodation, meals, etc.). COMMUNICATION

Please make sure that when providing your details you provide an email address that you actually use on a daily basis, as email communication with both ELTE and the host institution will take place before, during and after the mobility. It is your responsibility to monitor your email communication and to read the messages you receive, so it is also worth checking your spam regularly.

Planning your studies, Learning Agreement

RECOGNITION OF CREDITS

Courses completed abroad will be fully recognized by ELTE as mandatory or optional courses in the student's home curriculum. The student does not have to pay a credit transfer fee for the recognized credits.

An application for recognition of credits must be submitted by 30 November for the fall semester and by 30 April for the spring semester. Please contact your faculty's international office for information on the necessary administrative procedures.

LEARNING AGREEMENT

The Learning Agreement is Annex 1 to the Grant Agreement. In this document you agree with the partner institution and your home institution on the contents of your study/traineeship abroad. It has to be signed by all three parties (student, sending and host institution) in order to begin the mobility and receive grant payment. Without a signed Learning Agreement, mobility cannot be started! 

Please email your Learning Agreement confirmed and signed by three parties to your ELTE faculty international coordinator. The faculty coordinator will forward the finalized document to the Department of Erasmus+ and International Programmes after a brief check.  Please make sure that you fill out the right Learning Agreement template according to the mobility you have been awarded! HEALTH INSURANCE

In the event of any health problem, illness or accident, outgoing students must have adequate insurance to cover any costs incurred abroad. It is the responsibility of the student to take out health insurance that covers the entire duration of the mobility in the host country. The Grant Agreement cannot be concluded without a valid health insurance (i.e. your grant cannot be transferred and mobility cannot be started). It is recommended to contact the host institution’s international office or check the host institution's website, as in some cases incoming students may be asked to take out insurance at their host institution's contracted insurance company.

Of the three types of insurance indicated in the online form, only the health insurance is mandatory. The other are recommended to students on traineeship depending on the type of work they intend to do abroad. If you do not wish to take out any insurance other than health insurance, you can enter the details of health insurance for both liability and accident insurance, but this does not mean that you have valid liability or accident insurance.

Please email a scan of the insurance policy to the faculty international coordinator .On the copy of the insurance policy the following data should be included:

  • name of the insured
  • name of the insurance company
  • policy number
  • validity dates of the insurance/insurance period
  • the amount and type of medical service covered (e.g. does it cover the costs of a possible Covid illness?)
  • and the territorial validity of the insurance (whether it is valid in the country of destination).

OLS ASSESSMENT

You can access the language test on the new OLS website on the following page. The OLS test is mandatory to take before every mobility which lasts longer than 14 days. After registering on the EU Academy website, you will be able to participate not only in various online language courses but also in other EUAcademy courses, so it is worth exploring the possibilities.

Please email the result of your OLS test to your faculty coordinator along with the other necessary documents.

You must complete the OLS test before every mobility, even if you have already completed one for a previous mobility. If the language required for your mobility (e.g. Chinese) is not listed among the languages available on the platform, you are not obliged to complete the test.

Your Erasmus+ Grant Agreement that is a prerequisite for starting mobility and receiving grant support, will be prepared on the basis of the information and declarations provided in this form. Therefore, completing this form is mandatory.

The start and end dates of the mobility period correspond to the period of study at the host university, so typically the start and end date of your mobility are the official dates of the semester abroad. In case of long-term mobility for studies, there may be mandatory participation in language or other preparatory training or orientation programs before the semester, for which a grant up to the maximum funding limit (usually 5 months) may also be available. However, if you arrive before the start of the semester or stay in the host country beyond the term for personal reasons, these additional days cannot be counted as a mobility period. 

You are entitled to a scholarship for the period certified by the host institution at the end of your mobility. Therefore, if there is a difference between the dates indicated in the Grant Agreement and the dates certified by the host institution at the end of the mobility (e.g. because you returned home before the end of the semester or started your studies after the beginning of the semester), you may be liable to refund. It is therefore advisable at this point to be well informed about the semester's regulations, compulsory orientation programmes, etc. 

Please feel free to use the ESN (Erasmus Student Network) grant simulator to calculate the grant amount that you will receive for your planned long-term mobility for studies or mobility for traineeship.

If you would like to apply for an additional support for green travel, you can do so using the online form. Green travel (confirmed sustainable means of transport) is defined as the travel that uses low-emissions means of transport for at least 50% of the total return journey (i.e. at least in one direction) between the sending and host or its neighbouring countries, such as bus, train, car-pooling or bike. This can be understood in one of two ways:

  • Either the entire outward or the entire return journey is made by sustainable transport.
  • If you have to take a boat or a plane to reach the host university, you must make at least half of your total journey by sustainable means, both there and back. So, for example, if you are going to University College London and travel to Amsterdam by train, but change there to a plane -- you will need to do the same on the return journey in order to receive a green travel support. To calculate the distance between sending and host universities, please use the European Commission's distance calculator.

Students awarded with the additional support for green travel are obliged to keep the travel documents and provide proof of the realized green travel at the end of their mobility.

Accordingly, please take special care to keep the tickets used during the trip!

Grant Agreement

You will receive a pdf version of the Grant Agreement at the email address you provided in the online form. If the content of the document is correct and you agree with it, please return it to erasmus.icm@dep.elte.hu after AVDH authentication. AVDH authentication can be done by uploading the document to magyarorszag.hu/szuf_avdh_feltoltes with Client Gate Access.

If you do not have access to the Hungarian AVDH authentication system, please print 4 copies, date and sign them all (hand-written with a blue ink pen) and send them to the following address via postal or courier service (the fastest way possible), or submit them personally:

A finalized Grant Agreement is the necessary prerequisite of grant payment. Annex 1 of the Grant Agreement is the Learning Agreement signed by all three parties, without which the Grant Agreement is not in effect. Annex 3 to the Grant Agreement is the Erasmus+ Student Charter.

SUBMISSION OF DOCUMENTS

1. Please email the following documents to your faculty international coordinator:

  • The Learning Agreement signed by all three parties in pdf format
  • A scanned copy of the health insurance
  • OLS language test results

2. Please submit the Online Form by clicking on the Elküld/Submit button.

3. Sign the Grant Agreement you have received by email following any of the above explained two methods (digital authentication with AVDH or signing 4 paper copies).

We can prepare your Grant Agreement only if all other necessary documents have been received from your faculty international coordinator. Therefore, please take care of these first and then fill in the online form.

Transferring the first instalment of your scholarship (90% of the total amount) could be expected within 4 weeks of receipt of the signed Grant Agreement, provided that no correction of any required documents is necessary. Failure to complete the documentation may result in a delay in the payment of the grant. The remaining 10% of the grant will be paid after the successful completion of the mobility and the fulfilment of the obligations laid down in the Grant Agreement.
